Weather Contingency Plan · Los Angeles & Southern California
Keep the outdoor plan.
Be ready for rain or heat.
Planning an outdoor wedding, dinner or brand event? Reserve a stretch tent and installation team so you can add rain cover or shade when the forecast changes. For hot days, an optional water misting system can be included in your backup plan.
Plan my weather backup ↗Site review first. Agreed resources, price and decision deadline before you book.

Plan while you still have options
Your event is outdoors.
Your backup is already planned.
A changing forecast can leave you looking for equipment and a crew when other events need them too. Weather Backup Reserve lets you review the site and agree on a workable tent setup ahead of time, then hold the agreed resources until your decision deadline.
A checked site
We review the footprint, surface, anchoring, access and installation windows before offering a reserve.
A real resource hold
Your confirmed reserve identifies the tent equipment, installation team capacity and dates being held for you.
A clear decision
You know the installation price, how to confirm and when the final decision is due before you book.

When rain enters the forecast
Add cover.
Keep the gathering outdoors.
Plan a covered area for the part of your event that matters most: dining, a reception or a place for guests to gather.
We review canopy coverage, exposed edges, runoff and the ground beneath it. Flooring and other additions are included where agreed in your installation scope.
Installation remains subject to suitable weather and site conditions. A tent is not a shelter for every severe-weather scenario.
When the day turns hot
Shade for hot days.
Optional mist cooling.
A stretch canopy brings shaded space to your outdoor event. Add a water misting system to the agreed setup for additional cooling.
We review water access, any power requirements, nozzle placement and the seating layout. Cooling performance depends on humidity and site conditions; the setup is planned for your actual event.
Extreme heat may require additional measures or a change to the event plan.

How the reserve fee works
Reserve now.
Apply it to installation if you use it.
Your reserve fee holds the agreed tent and installation team for your event. The amount and full installation price are set out in your proposal.
You confirm installation
The reserve fee is credited in full toward the agreed installation price. You pay the remaining balance under your booking terms.
You do not use the tent
The reserve fee is non-refundable. It pays for keeping the agreed equipment and team available until the decision deadline.
Terms agreed upfront
Your agreement covers the deadline, release of the hold and what happens if the planned installation cannot proceed.
This is an equipment and installation reservation service. It does not provide insurance or compensation for weather-related losses.
From first brief to final decision

Seasonal planning
El Niño on your planning radar?
Seasonal outlooks can raise questions long before your event forecast is available. El Niño can increase the odds of a wetter Southern California winter, but it does not predict the weather on your event date.
Review your site and backup early, then use the event forecast to make the installation decision by your agreed deadline.

Your questions, answered.
Is the reserve fee refundable?
If you choose not to use the tent, the reserve fee is non-refundable. If you confirm installation, it is credited in full toward the agreed installation price. Separate terms address any inability to deliver the agreed setup.
How late can we make the decision?
The deadline is set for your site and schedule. It must allow time for access, installation and any required approvals. Same-day installation is not promised.
Can we reserve shade and a misting system together?
Yes. Ask for the water misting system in your brief. Its equipment, connection requirements and installation price are agreed as part of the reserve scope.
Does the tent cover all extreme weather?
No. Wind, severe weather, unsafe ground or extreme heat can require another plan. Your proposal identifies installation limits; a tent and misting system do not guarantee safe conditions in every situation.
Is this weather insurance?
No. This service reserves tent equipment and installation capacity. It does not pay claims or compensate for event cancellation, damage or other weather-related losses.
Does submitting this form hold my date?
No. An inquiry starts the site and availability review. A reserve is confirmed only through the agreed contract and payment process.
